Champlain Valley Physicians Hospital Streamlines COVID Vaccine Process with Immunization Tracking App
The Challenge
With the ongoing COVID-19 crisis, the need for a vaccine management system that is compliant, safe and efficient is higher than ever before. No one knows this better than Greg Freeman, Regional Manager of Occupational Health and Wellness at The University of Vermont Health Network-Champlain Valley Physicians Hospital (CVPH).
Freeman is responsible for accurately tracking the health needs and records of over 3,200 employees across multiple facilities. Even before the pandemic, annual influenza immunizations were a complex and time-consuming process at CVPH. “For years, we have had standard documents and we duplicate them,” Freeman says. “The data entry and follow-up would take us huge amounts of time – up to five weeks.”
To process the paperwork and administer vaccines to the 1,200 to 1,500 people coming through a flu pod, Freeman and his staff would spend valuable time on recording information, checking for accuracy, and adding it to an employee’s records, all while running the daily tasks in the office.

The Solution

“Right now, we have two clinics set up for COVID vaccinations, and have the app available in both clinics,” Freeman says. “The documents are uploaded, and they are available by 2 a.m. the next morning. It’s incredible. I go in and get reports daily from the prior day to see if there are any employees or any issues with the upload, and issues have been extremely minimal. It’s been really advantageous, because being able to automatically upload the form to each staff member’s EHR account has been really time saving for all of us.”
