Dear WoundExpert,
I love the automation available in the Progress Note and Superbill. Based on our workflow, I’m finding that this sometimes causes me to electronically sign the same document multiple times as others make updates. More concerning is that updates can be made to the documentation after the Superbill has been sent to our billing department, putting us at unnecessary risk in case of an audit. Help!
The Scenario
We understand. In an effort to ensure accuracy and make your life easier, documentation is automatically populated to the Progress Note while supported CPT4 codes are automatically calculated in the Superbill. No two wound clinics are exactly the same, but we’ve observed the consistent workflow challenge that comes with having multiple contributors to the final visit note. Additionally, there are many laws and regulations around electronic signatures, making it a problem you can’t afford to ignore and, therefore, one we won’t take lightly.
The Solution
We can help! A tool can be enabled that will indicate when the visit is finalized, and therefore alert providers when it’s “safe” to apply their e-signature. Finalizing the visit will also trigger the Billing Interface when the Superbill is validated and can be sent to your billing system. The tool was designed to retain accuracy in the visit note while fully achieving the efficiency intended with WoundExpert’s Progress Note and Superbill automation features.
Key features that can work to your advantage include:
- Per hospital or facility policy (customize your facility’s criteria for finalizing a visit)
- Identify those critical documents that must be submitted to properly finalize a visit
- If appropriate, identify authorized individuals who can submit documentation or authorize others to submit documentation post-finalization
